Government resume formats by country
The resume format for government jobs changes from country to country. Some public services want a short resume, others a long CV, a signed form or an online profile. Use this guide to see what to submit for a government job application in 12 countries, then follow the instructions in each job notice.
United States government resume format
- What to submit: a resume (not a long CV) through the federal application system, plus any documents the announcement lists, such as an assessment questionnaire, transcripts or licences.
- Length and style: federal agencies accept resumes of up to two pages under the Office of Personnel Management’s Merit Hiring Plan (effective 27 September 2025). List jobs in reverse chronological order.
- Include: employer, job title, start and end month and year, and hours per week for every job. Leave out your Social Security number and photo.
- File: PDF on 8.5 x 11 inch pages is the safest choice.

Canada government resume format
- What to submit: a resume and answers to screening questions in the Government of Canada jobs system, plus any documents the poster requires.
- Length and style: the Public Service Commission advises a simple, unformatted resume with no bullets, underlines or bold, because the system strips formatting when you paste it into your profile. Tailor it for each job and avoid acronyms.
- Include: specific examples that show how you meet every essential qualification in the poster.
- Provincial and city jobs: each employer can set its own rules, so follow the posting.

United Kingdom government resume format
- What to submit: a CV and, for most Civil Service roles, a personal statement or statement of suitability, plus short written examples of the behaviours the advert lists (often about 250 words each).
- Length and style: there is no set CV format. Statements often have word limits of 500 to 1,250 words. The STAR method (Situation, Task, Action, Result) is widely recommended.
- Note: some departments sift applications anonymously, so follow the advert on whether to include your name.

Australia government resume format
- What to submit: a resume plus, in most Australian Public Service applications, a statement addressing the selection criteria or a short pitch. A resume alone is often not enough.
- Length and style: page and word limits are set by each agency, so check the advertisement.
- Include: employers, roles, dates and referees as requested, and check the eligibility section for citizenship and security clearance requirements.
- State and territory jobs: each government runs its own recruitment system and classification labels.

New Zealand government resume format
- What to submit: a CV and a cover letter, usually uploaded through the agency’s online application form.
- Length and style: two to three pages is the usual guide, with the most recent job first. Longer is acceptable for management or extensive experience. Give your file a clear name.
- Include: relevant volunteer work, community activities and achievements. Several New Zealand ministries encourage them.

Ireland government resume format
- What to submit: a structured online application form. A CV is not needed unless the competition booklet asks for one, which is usually for senior or technical roles.
- Length and style: the form answers are used for shortlisting, so complete every question with specific evidence against the criteria.
- Tip: read the Competition Information Booklet in full before you start.

India government resume format
- What to submit: most recruitment is exam-based. UPSC and many state commissions use a one-time registration profile, then an online application form with photo, signature, ID and certificates uploaded.
- Resume or biodata: more common for contract, consultant, PSU and research posts than for exam-based jobs. Follow each notification.
- Careful with: names, dates of birth and category details must match your certificates exactly, or the application can be rejected.

Singapore government resume format
- What to submit: an online application through the Careers@Gov portal, which sends you to the relevant agency’s system to finish. Expect to add personal details, citizenship status and a resume.
- Length and style: a concise English resume in text-based PDF, unless the agency asks for another format.
- Include: education, dated work history and the skills named in the job description.

Germany government resume format
- What to submit: a cover letter (Anschreiben), a tabular CV (tabellarischer Lebenslauf) and certificates (Zeugnisse), plus any proof the job notice requires.
- Length and style: the CV is tabular and clearly structured, usually one to two pages, with the most recent stage first.
- Photo: voluntary. Many public employers do not expect one, so follow the job notice (Stellenausschreibung).

South Africa government resume format
- What to submit: a completed and signed Z83 application form (2021 version) and a detailed CV. Using an old Z83 can lead to disqualification.
- Certified copies: usually only requested if you are shortlisted. Check the vacancy circular.
- Include: the post title and reference number on the Z83, and submit a separate application for each post.

Philippines government resume format
- What to submit: the Civil Service Commission’s CS Form No. 212 Personal Data Sheet with the Work Experience Sheet attached, plus an application letter and documents the agency lists.
- Style: the form is sworn, so accuracy matters. Use the latest revision, because outdated versions can delay or disqualify an application.
- Include: eligibility, work experience, training, references and ID details.

United Arab Emirates government resume format
- What to submit: register on the official portal for the federal government or the emirate, complete your profile and upload a CV and supporting documents.
- Documents: a passport-style photo, ID or passport copy and attested degrees are commonly requested. Check each portal.
- Style: keep job titles, employers and dates identical in your profile and your CV.
- Note: some roles prioritise UAE nationals, and you should apply only through official portals.

How to write a government job resume, step by step
A government job resume is judged against the published requirements of a specific vacancy. Write it for the person who has to tick each requirement off.
- Read the job announcement and note every qualification, duty and required document.
- Tailor the resume so that each requirement is answered with a specific example.
- Add the details the employer asks for: employer, job title, month and year dates and, for US federal jobs, hours per week.
- Show results with numbers, percentages or dollar values wherever you can.
- Keep to the page and file limits in the announcement, then check for spelling and clarity.

A practical guide to government job resume samples and templates
Written and reviewed by the Resume CV Writers editorial team. Last updated . This guide is general career advice and sample content, not official government guidance.
What is a government job resume?
A government job resume is a document that shows you meet the requirements of a public-sector vacancy. The employer might be a national department, a state agency, a city council or a public hospital. What they have in common is a hiring process that is built around published criteria, so reviewers need to see evidence against each one.
That evidence has to be on the page. US federal hiring guidance warns that the hiring agency will not make assumptions about what is in a resume. If an experience or qualification is not written down, it cannot be counted.
Government resume vs. standard resume: key differences
A private-sector resume often works as a personal marketing document, and the reader may spend a few seconds deciding whether to call you. A government resume is more of a compliance document. The reader compares your experience against a list of duties and qualifications, often using a checklist.
Three practical differences follow. First, the required details are stricter: dates by month and year, hours worked, and grade or classification level where the system asks for it. Second, length and file rules are set by the employer, not by convention. Third, the resume is often only one part of the application. In Australia, a resume alone is often not enough, because agencies commonly add a statement against the selection criteria or a short pitch.
What to include in a government job application resume
For US federal jobs, applicants are asked for contact information, relevant work experience, and education, certifications or licences when the announcement requires them. It also allows relevant volunteer work and community roles that show how you qualify. Whatever the country, a clear structure looks like this:
- Contact details: full name, email address and phone number.
- Professional summary: two to four lines linking your experience to the role.
- Work experience: in reverse chronological order, with results under each role.
- Education and licences: only what the vacancy requires or values.
- Skills and training: the tools and methods named in the announcement.
- Referees or additional documents: when the advertisement asks for them.
Government employee resume examples: describing public-sector experience
State the employer, the job title and the exact dates, and add the classification or grade if you held one. Explain the scope of the work in plain language: the size of the team you supported or led, the budget you managed, the volume of cases or transactions you handled, and who relied on your work.
Avoid internal jargon and unexplained acronyms. Federal guidance recommends plain language, because the person screening you may not know your agency’s terms. Never include classified or government-sensitive information. Describe what you did in general terms and let outcomes carry the detail.
Skills for a government resume and how to show achievements
Federal guidance suggests writing achievements in a consistent pattern: what you accomplished, how it was measured, and what you did to get there. For example, “reduced grant payment time from 20 to 12 days by redesigning the approval workflow” is stronger than “responsible for grant payments”.
Use the vocabulary of the announcement. Federal guidance offers a simple test: if the qualifications mention a specific tool such as MS Project, the words MS Project need to appear in your resume. Typical skills that hiring panels look for in public-sector roles include:
- Policy research, analysis and briefing.
- Records, information and data management.
- Budgeting, procurement and compliance.
- Stakeholder and customer engagement.
- Project coordination and reporting.
- Privacy, security and integrity in handling information.
Free government resume templates: how to choose one
Choose the simplest template that fits the page limit. Plain headings, clear dates and a readable font matter more than decoration. Federal guidance recommends sans-serif fonts such as Lato, Calibri, Helvetica or Arial, 0.5 inch margins, and roughly 14-point titles with 10-point body text. It recommends saving as a PDF to keep formatting and page count intact.
Check the page size and file type before you upload. US federal resumes should use 8.5 x 11 inch pages and stay within the file limits in the announcement. Australian and most other public-service applications use A4. Our resume templates are designed for A4 and can be resized.
Common mistakes to avoid
- Going over the page limit, or relying on older advice that recommends longer resumes.
- Leaving out month and year dates or hours per week when the application requires them.
- Listing duties instead of results.
- Using acronyms the screener may not know.
- Adding a photo, Social Security number or personal details that US federal guidance says to leave out.
- Ignoring the second half of an application, such as the pitch or selection criteria in Australia.
- Sending one generic resume to every vacancy.
How to customise your resume for a specific position
Start with a master resume that lists all your experience in detail. For each application, copy it and cut it down to what the announcement asks for. Move the most relevant role and achievements to the top of the first page, and remove or shorten roles that do not support the application. Federal guidance suggests that a reviewer should be able to see your main credentials within 10 to 15 seconds, so put the strongest evidence in the top quarter of page one.
Then read the announcement again and tick off each requirement. If one is missing from your resume, add a specific example or explain in your cover letter how you will meet it.
Government resume format by country
Government hiring systems differ by country, and rules change. See the government resume formats by country above, and read the current instructions in each job announcement before you apply:
- United States: follow the instructions in each federal job announcement, including the two-page resume limit.
- Australia: follow each agency’s application instructions, and plan for a pitch or selection criteria statement alongside your resume.
- India: exam-based and merit-based systems use their own forms and documents. If you want a writer to prepare your resume, see our resume writing services in Mumbai or our resume writing service in Chandigarh.
- Canada: apply through the official jobs portal named in the posting. For help with a Canadian resume, see our resume writing services in Calgary.
- New Zealand: follow the vacancy’s instructions, or see our resume writing services in New Zealand.
- United Kingdom: apply through the official civil service or employer portal and follow the advertised requirements.
We are an independent resume resource and are not affiliated with any government agency. Always verify current requirements on the relevant official website.
Government job application format and cover letter examples
What to send in a government job application
A complete government job application usually has up to four parts. Check the job notice, because many employers ask for only some of them.
- Government job application resume that answers the duties and qualifications in the notice.
- Cover letter that explains why you want the role and points to your strongest evidence.
- Selection criteria, pitch or personal statement where the employer asks for one.
- Forms and documents such as an application form, certificates, licences or identity documents.
Government job cover letter example
Keep a government cover letter to one page, address it to the contact named in the notice, and reuse the employer’s own words for the requirements. Adapt this sample with your own details:
Dear Hiring Manager,
I am applying for the Program Officer role (reference ABC123). In my current role at [Agency], I manage 120 funding agreements worth $8.5M and keep every payment within agency rules. I redesigned the approval workflow, cutting average payment time from 20 to 12 days.
Your advertisement asks for stakeholder engagement and reporting experience. I lead monthly meetings with 25 community organisations and prepare the reports that senior managers use for decisions. I would bring the same accuracy and service focus to your team.
My resume is attached. Thank you for considering my application, and I look forward to discussing how I can contribute.
Yours sincerely,
[Your name]

Frequently asked questions
How do I write a resume for a government job?
Read the announcement, then tailor your resume so each qualification is answered with a specific example. Include the details the employer requires, such as employer names, job titles, month and year dates and, for US federal jobs, hours worked per week. Use plain language, add measurable results and stay within the page limit.
What should a government job resume include?
At minimum: your contact details, relevant work experience and any education, licences or certifications the vacancy requires. Add a short summary, relevant training and volunteer work that supports your claims. Check the announcement for additional items, such as referees or a statement against selection criteria.
Is a government resume different from a regular resume?
Yes, mainly in the detail and the rules. Government reviewers compare your resume with published criteria, so dates, hours, classification levels and evidence must be explicit. Page and file limits are set by the employer, and there is often a second document, such as a pitch or criteria responses in Australia.
How long should a government resume be?
It depends on the employer. US federal job applications accept resumes of up to two pages and will not accept longer ones. Australian agencies set their own limits in each advertisement, so follow the instructions on the vacancy you are applying for.
What skills should I include on a government resume?
Use the skills named in the announcement, and show them through examples. Common ones include policy research, records management, budgeting, compliance, stakeholder engagement, project coordination and safe handling of sensitive information. If the qualifications name a tool or method, use the same words.
Can I use a standard resume for a government job?
You can use it as a starting point, but you should not submit it unchanged. Add any missing details, tailor it to the announcement, follow the length and file rules, and remove content the employer tells applicants to leave out, such as photos in US federal applications.
What is the best resume format for government jobs?
For most public-sector jobs, use reverse chronological order with plain headings, clear month and year dates and a standard font. Then follow the format rules in the notice, such as page limits, plain-text profiles or a prescribed form. See our government resume formats by country.
Where can I find free government resume templates?
This page offers 32 free government resume templates and samples as PDFs, covering entry-level, experienced and senior executive roles. Replace the sample content with your own details and keep it to the length your employer allows.
What is the difference between a government CV and a resume?
The words are used differently in different countries, and our government job CV samples follow the same plain layout as the resume samples. In the US and Canada a resume is the usual document, while in the UK, Ireland, New Zealand, Germany and the Gulf you will often be asked for a CV. Follow the term and the length used in the job notice.
Do I need a cover letter for a government job application?
Often yes, but not always. Some governments use only a form or a resume plus selection criteria. If a cover letter is optional, a short, tailored one can still help. Use the government job cover letter example above as a starting point.
