How to Choose an ATS-Friendly USA Resume Layout
An applicant tracking system converts your file into text and stores it in a searchable profile. Most large US employers use one, so readability for software matters as much as design for humans. These practical rules are consistent with published ATS formatting guidance and with how all the samples above were built:
- Use real text, not images. Every PDF here has selectable text. Never upload a JPG, a screenshot or a scanned PDF to an application portal.
- Prefer a single column for portal applications. ATS guides rate multi-column layouts, tables and text boxes as higher risk for Workday and Oracle Taleo style systems; the Ladders study also found that its worst-performing resumes had multiple columns and little white space.
- Keep contact details in the main body, not in a page header or footer, and use standard headings such as Summary, Skills, Experience, Education and Certifications.
- Use PDF or DOCX as the employer instructs. When both are accepted, a simple text-based PDF or DOCX is the usual default.
- Mirror the job description honestly. Use the exact skill, tool and certification names that apply to you; in ResumeGeni’s analysis of 301 resumes, keyword gaps accounted for 44% of the issues flagged.
| Situation | Best layout | Best file |
|---|---|---|
| Applying through a company career portal (Workday, Taleo, iCIMS, Greenhouse, Lever) | Single-column design | Text-based PDF or DOCX, as instructed |
| Emailing a recruiter or hiring manager directly | Single- or two-column | |
| Sharing on LinkedIn, social media or a portfolio | Any design | JPG preview plus PDF link |
| Printing for a job fair or interview | Any design | PDF on US Letter (8.5 x 11 in) |
Layout labels on the cards come from an automated check of each design. Single-column designs read top to bottom; some place Education and Certifications side by side near the bottom of the page.
USA Resume Format: Section-by-Section Guide
1. Contact line
List your full name, city and state, phone number, professional email and a LinkedIn URL. A street address is not needed. Add GitHub or a portfolio link for technical and creative roles.
2. Headline and professional summary
Write a 2–4 line summary that states your job title, years of experience, your strongest measurable results and your core skills. Recruiters spend only seconds on a first pass (7.4 seconds in the Ladders study), and top-performing resumes in that study opened with a clear overview.
3. Skills
Group skills under short labels (for example Tools, Compliance, Leadership) and use the same wording as the job posting where it is true for you.
4. Work experience
List positions in reverse-chronological order with job title, employer, location and dates in Month YYYY format. Write 3–5 bullets per role using this formula: action verb + what you did + how + measurable result. Example from a sample on this page: “Reduced turnover from 24% to 15% by redesigning onboarding, adding manager training and launching engagement surveys.”
5. Education and certifications
Place education below experience once you have a few years of work history. Show the degree, school and graduation year, and add GPA only if it is strong. Put licenses and certifications in their own section, and mark anything still in progress as “in progress” rather than implying it is complete.
6. What to leave out
- Photo, date of birth, age, gender and marital status (see the EEOC discussion in the FAQ).
- Salary history and reasons for leaving.
- Full street address, graphics, skill-rating bars and text inside images.
- “References available upon request” — it takes space and is assumed.
USA Resume vs CV vs International CV
In the USA, the word “resume” usually means a concise, tailored one-page summary for industry jobs. A curriculum vitae (CV) is the longer academic document used for faculty, research and many graduate-school applications. UC Davis describes the CV as a full history of academic accomplishments with typically no length limit, and the resume as a concise summary of qualifications. If you are not sure what an employer wants, ask.
| Element | USA resume | Many international CVs |
|---|---|---|
| Length | 1 page typical; 2 for advanced applicants | Often 2 or more pages |
| Photo, date of birth, marital status | Left out | Sometimes included in other countries |
| Paper size | US Letter, 8.5 x 11 in | A4 in most other countries |
| Focus | Quantified achievements and keywords | Varies by country and employer |
| Spelling and dates | American English; Month YYYY | Local conventions |

USA Resume FAQs
What is the best resume format for USA jobs?
The reverse-chronological format is the standard in the USA: contact details, a short summary, skills, work experience from newest to oldest, education and certifications. It is typically one page on US Letter paper (8.5 x 11 inches) for early- and mid-career applicants, with no photo, date of birth or marital status. Every sample on this page follows that structure.
Is it a resume or a CV in the USA?
For most non-academic jobs in the USA employers ask for a resume. UC Davis Career Center notes that CVs are required for academic positions and resumes are needed otherwise, and that the two terms are sometimes used interchangeably in the US and Canada, so you should ask if you are unsure. A resume is typically 1 page (2 pages may be appropriate for advanced applicants), while a CV has no set limit.
How long should a USA resume be?
One page is the norm for about 3-4 years of experience, and that is the length of all 85 samples here. UC Davis describes a typical resume as 1 page, with 2 pages possible for advanced applicants. Add a second page only when you have enough relevant, recent experience to justify it.
Do US employers really use applicant tracking systems (ATS)?
Yes. Jobscan found that 97.4% of Fortune 500 companies (487 of 500) used a detectable applicant tracking system in 2026, based on data collected on June 3, 2026. Workday and SAP SuccessFactors together accounted for 52.4% of Fortune 500 ATS usage, so a resume that is easy for software to read matters.
Should I upload a PDF, a Word file or a JPG to an ATS?
Follow the employer’s instructions first. When both are accepted, ATS guides generally recommend a text-based PDF or DOCX. The PDF files on this page contain real, selectable text. The JPG versions are visual previews for viewing, sharing and portfolios; do not upload a JPG to an application portal, because software cannot read text inside an image.
Should a USA resume include a photo, age or marital status?
No. US resumes conventionally leave out photos, date of birth, age and marital status. The EEOC notes that employers must not use age information to discriminate and that it closely scrutinizes application forms that ask for it, so US career advisers recommend leaving age details off a resume. Photos can also disrupt ATS parsing.
Are two-column resume designs bad for ATS?
They carry more risk. ATS formatting guides rate multi-column layouts, tables and text boxes as higher risk for Workday and Taleo-style systems and recommend a single column. The Ladders eye-tracking study also found that the worst-performing resumes had a cluttered look with multiple columns and little white space. Each sample on this page is labeled single-column or two-column so you can choose the safer layout for portal applications.
Where can I find resume samples for other countries or for government jobs?
Resume CV Writers publishes separate sample pages for New Zealand, Australia, European countries (Europass) and government jobs. Links to all four are in the section on resume samples by country and sector on this page.
Can I copy these samples for my own resume?
Use them as models for structure, section order and the style of quantified bullets. All names, employers, contact details and figures in the samples are fictional placeholders. Replace them with your own accurate information and never claim a credential, license or result that is not yours.
How do I tailor my resume to a US job description?
Read the posting, identify the required skills, tools and certifications, and mirror the exact terms in your summary, skills and experience bullets where they honestly apply to you. Lead each bullet with an action verb, state what you did and how, and finish with a measurable result.
Need a Resume Written for Your Own Experience?
